The best teacher and school staff shirts say one short, clear thing on the front: your campus name or nickname, your grade level or team, or a simple message like "Here for Every Student," set in big, bold letters that still read from across a hallway or in a group photo. Put roles or departments on the back if you need them, add names only where your school approves it, and leave the year off if you want the same shirt to work for the August start, the January return, spirit weeks, and staff photo day. Then collect every size with one form and one deadline, and save the approved file so new hires can match later.
This guide is for the teacher, team lead, front-office manager, or PTA volunteer who just got handed "can you handle staff shirts?" If you're ordering for students or athletes with names and numbers, our guide to school and team shirt orders with rosters, names, and numbers covers that. This post is about the adults on campus.
What should teacher and school staff shirts say?
Short wins. A staff shirt gets read in a few seconds: at car line, across the gym, or in a photo on the school's page. Two to six words on the front is a good target. A simple test: if you can't read the proof shrunk to a small picture on your phone, it has too many words.
Campus-wide wording ideas
- "[Campus nickname] Staff" or "Team [Campus name]" (check with your principal or district on how the school name may be used)
- "Here for Every Student"
- "One Campus. One Team."
- "Every Student. Every Day."
- "Welcome Back" (works in August and in January)
- "Proud to Serve [Campus name]"
Grade-level and team wording
Grade and department shirts are popular because each group gets an identity while the whole staff still matches. Keep the same layout and swap only the team line:
- Kinder Crew, 1st Grade Team, Team Fourth, 6th Grade Squad
- Science Department, Math Team, Fine Arts, Coaching Staff
- Front Office, Counseling Team, Nurse's Office, Library Team
- Cafeteria Crew, Custodial Team, Transportation, Support Staff
Wording that keeps a staff shirt useful all year
A shirt that says "First Day of School" with the year under it is a one-week shirt. A shirt with your campus name, team, and a message you believe in can be worn on spirit days, at open house, at field day, and in the staff photo. If you want a dated version for the first week back, put the year in a small line on the back so the front still works the rest of the year.
Wording to skip
- Inside jokes that won't make sense to parents seeing the photo online
- Sarcasm about students, parents, or testing, even if it's funny in the lounge
- Anything that could read as an official district message unless the district approved it
- Song lyrics, movie lines, or cartoon characters you don't have rights to
How do you keep staff shirt wording readable in hallway photos?
Most staff shirts end up in group photos, and photos are where weak designs fall apart. A few habits help:
- Go big on the front. A full-front design reads in a group photo; a small left-chest logo usually doesn't. Our shirt design size guide shows typical print sizes for the front, left chest, and back.
- Use bold block letters. Thin script and decorative fonts look nice up close and disappear from ten feet away. See can small text be printed on a t-shirt before you add fine print.
- Pick strong contrast. Dark ink on a white shirt or light ink on a black shirt reads best. Our post on what shirt colors make a logo stand out goes deeper.
- One message per side. Campus or team on the front; role, department, or motto on the back. Splitting it keeps both sides clean.
- Keep the layout identical across teams. When every grade uses the same font, size, and position and only the team line changes, the full-staff photo looks planned.
On color: our crew packs default to black or white shirts, and you send the size and color breakdown after ordering. Individual shirts from our custom t-shirt page currently come in White, Black, Gray, Navy, and Red, in adult sizes S through 3XL. If your campus colors aren't on that list, a white or black shirt with campus-color ink is a clean fallback.
Should staff shirts include names? One design, names only where approved
The simplest staff shirt is one shared design for everyone. It photographs as a unit, nobody's name gets misspelled, and anyone who joins mid-year can wear the same shirt. For most campuses, that's the right default.
Some schools like names or titles on the back, such as "Ms. Garza" or "Coach R." Before you plan that, ask your principal. Campuses have different rules about staff names on clothing, especially for field trips and events open to the public. Two rules hold everywhere: print staff names only where the school approves it, and never print student names on staff shirts.
If names are approved, a few tips:
- Consider role labels instead. "Kinder Team" or "Front Office" never needs a reorder when someone leaves. Our post on adding employee names to company shirts walks through that tradeoff.
- Use the name exactly as the person wants it. Ask on the size form, don't copy it from a staff directory.
- Talk to us before ordering. Our crew packs print the same design on every shirt. If you want a name on each shirt, contact us first so we can set up the order the right way, and check every name on the proof.
What about the school logo or mascot?
School and district logos, mascot artwork, and official seals usually belong to the district, and many have rules on how they're used. Get written permission from your campus or district before you send us that artwork. If permission is still pending, a text-only design with your campus name in a bold font works well and can be swapped later. We explain the details in can you put a team, school, or company logo on a custom shirt.
Which order option fits a school staff?
Most staff orders fall into one of three sizes. Prices below were checked on our live product pages when this post was written; the product page always shows the current price.
- A grade team or department of about a dozen: the 12-shirt pack is $155.88 (about $12.99 per shirt), with front and back print included.
- A larger staff or several teams with one shared design: the 24-shirt pack is $311.76 (about $12.99 per shirt), also with front and back print included. Every pack option is on our crew shirt packages page.
- A few shirts, one new hire, or a teacher ordering for themselves: a single custom tee is $24.99 with a front print or $29.99 front and back.
A proof comes with your order, and you approve your proof before we print. Shipping by USPS, UPS, or FedEx is calculated at checkout, and local delivery in San Antonio is $12.99 within 10 miles; details are on our delivery page. If you're a San Antonio school ordering for the first time, our custom t-shirt printing in San Antonio page explains how we work. How do you collect staff sizes with one form and one deadline?
Sizes are where staff orders stall. One form and one deadline fixes most of that.
- Make one form. Ask for name, shirt size, and (only if approved) the name or title to print. Add a short note on fit, since sizes vary by brand. Link to how custom t-shirt sizes run so people can check.
- Set one deadline and say it twice. For an August start, close the form before in-service week fills everyone's calendar. For the January return, close it before winter break. Send a reminder two days before it closes.
- Have one person own the list. One coordinator, one spreadsheet, one final version. Our guide to collecting sizes for a bulk shirt order has a template approach.
- Decide what happens to no-replies. Pick a plan in advance, like ordering a common middle size or holding a shirt for them to swap. How many of each size should I order helps with the guesswork.
- Count, then send. Mixed sizes in one order are normal; see can I mix shirt sizes in a bulk order. For crew packs, you send the size and color breakdown after you order.
When you order, tell us your in-hand date, the day the shirts need to be on campus, and approve your proof as soon as it arrives. Before you approve, run through our 8-point proof checklist, paying extra attention to campus name spelling and any names.
How do you reorder staff shirts for new hires and mid-year arrivals?
Every campus gains people during the year: January hires, long-term subs, student teachers. Your first order should make matching them easy.
- Save the approved proof. Keep the final file with a clear name like "Staff Shirt - Approved" in a shared folder, not in one person's inbox.
- Save the order details. Which product you used, shirt color, print sides, and the final size list.
- Leave the year off. An undated shirt never needs new artwork for a new hire.
- Order a little extra up front. One or two shirts in common sizes covers the first new hire. See should I order extra shirts for a group.
For one or two shirts later, the single custom tee page works well: upload the saved file and choose the size. Our post on reordering the same custom shirts later covers what to keep on file.
Planning staff shirts around the whole school year
A well-planned staff design earns its place all year:
- First week back and in-service: meet-the-teacher night and the first staff photo.
- Staff photo day: matching shirts make the yearbook or website photo look planned.
- Spirit weeks, homecoming, and game days: pair staff shirts with student spirit wear. Our school spirit shirts in San Antonio guide covers clubs and fundraisers.
- The January return: a good time to welcome new staff with the same shirt everyone else has.
- Field trips and field day: matching staff shirts help students and chaperones find an adult fast.
- Teacher appreciation in the spring: a parent group or PTA can order the staff design as a thank-you.
To keep printed shirts looking good through all of that, wash them inside out and follow our DTF shirt washing and drying guide.

Frequently asked questions
What should a teacher team shirt say?
Keep it to two to six words: your campus name or nickname, your grade or team ("Kinder Crew," "6th Grade Squad"), or a short message like "Here for Every Student." Put roles or a motto on the back if you need more.
Should I put the school year on staff shirts?
Only if you want a one-year shirt. Leaving the year off lets the same shirt work for the August start, the January return, spirit weeks, and staff photos. If you want a date, keep it small on the back.
Can we use our school logo or mascot on staff shirts?
Only with written permission from your campus or district, since those logos usually belong to the district. Until you have it, a bold text-only design with the campus name works well.
Can each teacher's name go on the shirt?
Only where your school approves it, and never student names. Our crew packs print the same design on every shirt, so contact us before ordering if you want names, and check each name on the proof.
How do I collect sizes for a staff shirt order?
Use one form with name and size, set one deadline before in-service week or winter break, send a reminder, and have one person own the final list. Decide in advance what to do for anyone who doesn't reply.
How much do custom staff shirts cost?
When this was written, our 12-shirt pack was $155.88 and our 24-shirt pack was $311.76, each about $12.99 per shirt with front and back print included. Single custom tees were $24.99 front or $29.99 front and back. Check the product page for current pricing.
Can we reorder the same shirt for new hires later?
Yes. Save the approved proof file and your order details, leave the year off the design, and order one or two matching shirts from the single custom tee page when someone new joins.
