School & Team Shirt Orders: Rosters, Names, Numbers, and Sponsor Logos Without Errors

October 17, 2026Pablo

Send one clean roster with names, numbers, and sizes, then proof the spelling of every name before anything prints — that's how school and team shirt orders come out right. Most team-shirt mistakes aren't printing problems; they're list problems: a misspelled last name, two players with the same number, or a youth size typed as an adult size. Fix the list first and the shirts follow.

Here's the roster workflow we recommend to coaches, booster clubs, PTAs, and team parents around San Antonio — from spreadsheet to sponsor logos to late joiners.

Why do team shirt orders go wrong?

When a team order goes sideways, it usually traces back to one of a few causes:

  • Information arrives in pieces. Sizes by text, names by email, and nobody has the full picture.
  • Names are typed from memory. "Hernandez" becomes "Hernandes," or a nickname shows up where the family expected a legal name.
  • Numbers collide. Two players both want #10, or a returning player's number gets reassigned without anyone noticing.
  • Sizes are guessed. A parent writes "M" without saying whether that's youth or adult.
  • Sponsor logos are low quality. A logo screenshotted from a website looks fine on a phone and blurry on a shirt.

Every one of these is fixable before you order, with a single roster.

Step 1: Build one roster spreadsheet (name, number, size)

Pick one person — the coach, a team parent, or a booster volunteer — to own the list and keep one spreadsheet. Google Sheets or Excel both work. Avoid collecting details in a group chat, where updates get buried.

The columns every team roster needs

Keep it simple. These columns cover almost every school or league order:

# Name on shirt (exact) Number Youth or adult Size Notes
1 GARCIA 4 Youth YM Parent confirmed spelling
2 NGUYEN 12 Adult AS
3 O'BRIEN 21 Adult AL Apostrophe — keep it
4 COACH — Adult AXL No number

The names above are placeholders to show the format. A few rules make the list printer-ready:

  • Type the name exactly as it should print. If you want all caps, type all caps. If you want first initial plus last name, type it that way for everyone.
  • Write sizes with a youth or adult prefix. "YM" and "AM" can't be confused. A plain "M" can.
  • Use one row per shirt. Two shirts means two rows.
  • Add a totals row. Count how many of each size you have, so the order quantity matches the list.

Collect accents, apostrophes, and hyphens on purpose

Names like Peña, O'Brien, or a hyphenated last name matter to families. San Antonio rosters often include Spanish surnames with accents and tildes, so ask families directly how the name should appear, and record it exactly. If your design uses a font that can't show an accent, decide that up front and tell families before they see the shirts.

Step 2: Proof the roster, not just the art

Most people study the logo on a proof and skim the names. Flip that. The logo is one design; the names and numbers are where individual errors hide.

With LuxPort, you approve your proof before we print. Use that step to check the list line by line:

  1. Send the roster back to families. Before you submit it, share a view-only copy (or a printed list at practice) and give families a short window to flag spelling corrections.
  2. Read every name out loud against the spreadsheet. Two people work best: one reads, one checks.
  3. Sort by number and look for duplicates. A sorted column makes a repeated number jump out right away.
  4. Count the rows. The number of names should equal the number of shirts you're ordering.
  5. Check the size column last. Make sure every row has a youth or adult prefix.

Number conflicts: settle them before you order

If two players want the same number, the coach or league should decide — not the printer. Seniority or letting returning players keep last season's number are common approaches. Either way, lock the number column before submitting; a change after approval means reworking that shirt.

Step 3: Sponsor logos — files, size, and placement

Many San Antonio youth leagues and booster clubs rely on local businesses to help pay for shirts, and a sponsor wants their logo to look sharp. Get the files right and it will.

Get the logo file from the sponsor, not from Google

Ask each sponsor for their original logo file. The best options are a vector file (SVG, AI, EPS, or PDF) or a transparent PNG at 300 DPI at the size it will print. A logo copied from a website or social media post is often too small and can print fuzzy. Asking the sponsor directly also confirms they're okay with their logo appearing on your shirts.

Where sponsor logos usually go

  • One main sponsor: a single logo across the upper back, above or below the name and number.
  • Several sponsors: a grouped block of logos on the lower back, sized evenly so no one feels shortchanged.
  • Front of shirt: usually reserved for the team or school name, with a small sponsor logo on a sleeve or near the hem if it fits the design.

Leave space between the number and the sponsor block; a crowded back is hard to read from the bleachers. On the proof, check that every sponsor is present, spelled right, and in the agreed spot.

Step 4: Youth and adult sizes in one order

School and league orders almost always mix youth players with adult coaches, parents, and volunteers. A few tips keep this clean:

  • Ask families to measure, not guess. Have them lay a shirt that fits well flat and compare it to a size chart. Kids between sizes usually do better sizing up.
  • Think about print size on smaller shirts. A back design sized for an adult XL can look oversized on a youth small.
  • Confirm sizing options before you collect sizes. Check what's available for the product you plan to order, and contact us if your roster needs sizes you don't see listed.

For more on combining the two, read how to order youth and adult shirts together.

Step 5: Plan a buffer for late joiners

Someone always joins after the order is placed — a new student, a mid-season transfer, a sibling who wants to match.

  • Order a few extras in your most common sizes. Leave the name and number off those, so any late player can wear one.
  • Keep the roster file and artwork saved. A reorder is much easier when the design, fonts, and sponsor logos are already approved.
  • Set a cutoff date. Tell families the date the roster locks. Anyone after that goes on a second, smaller order.

How San Antonio schools, leagues, and boosters can order with LuxPort

LuxPort Print Co prints in San Antonio and ships nationwide, so a campus club on the West Side, a youth league up north, or a PTA anywhere in Bexar County orders the same way. Pick the path that fits your roster:

Same design on every shirt: crew packs

If every shirt gets the same print — team name on the front, school or sponsor on the back — a crew pack is the simplest route. Each pack is standard short-sleeve cotton shirts with the same custom print, front and back print included, and you send your size breakdown after ordering. On the live collection page right now, the 12-shirt pack is $155.88 and the 24-shirt pack is $311.76. Not sure which pack size fits? See what size crew pack to order for your team.

Individual names and numbers: gang sheets or talk to us first

If your booster club or league has access to a heat press, DTF gang sheets let you put logos, names, and numbers on one sheet, printed in San Antonio and shipped ready to press, with transfers for adult and kids' garments. Our guide on putting logos, names, and numbers on one gang sheet covers layout. If you'd rather receive finished shirts with each player's name and number, contact the team before you order so we can confirm how your roster will be handled and priced.

Just a few shirts

For a coach, a parent, or one late joiner, a single custom shirt is $24.99 with a front print, plus $5 for a back print. For broader planning, see our guides to school spirit shirts in San Antonio and bulk orders for schools.

Whatever you order, tell us your in-hand date and approve your proof promptly.

Team roster shirt FAQs

How do I send a roster for team shirts with names and numbers?

Use one spreadsheet with columns for the exact name to print, number, youth or adult, and size, with one row per shirt. Send the file itself rather than pasting names into a message, so nothing gets retyped.

What's the best way to collect shirt sizes from parents?

Use a simple form or shared sheet with a firm deadline, and require a youth or adult prefix on every size. Ask parents to measure a well-fitting shirt instead of guessing.

What happens if a name is misspelled on the proof?

Point it out before you approve. The approved proof is what gets printed, so the proof is the time to catch every spelling issue.

Can two players have the same number?

It's your team's decision, but duplicates usually cause confusion for officials and photos. Sort your roster by number before ordering and settle any conflicts first.

What file format do sponsor logos need to be in?

A vector file (SVG, AI, EPS, or PDF) is ideal. A transparent PNG at 300 DPI at the final print size also works. Avoid screenshots and logos saved from social media.

How many extra shirts should a team order?

Most teams add a few extras without names in their most common sizes. Base the number on how often your roster changes mid-season.

Can youth and adult shirts be in the same team order?

Yes, mixed rosters are common. Label every size as youth or adult, confirm the sizes available for the product you choose, and check that the print size looks right on smaller shirts.

Get your roster right, then order

One clean spreadsheet, one careful proof, real sponsor files, clear youth and adult sizes, and a few extras for latecomers — that's the whole system.
